Receptionist & Office Admin (Part or Full-Time)
We are seeking a reliable and proactive individual to join our team as a Receptionist and Office Admin/Invoice Filing. In this role, you will be responsible for providing exceptional customer service to walk-in-clients, managing incoming calls and inquiries, and supporting various administrative tasks, including invoice filing and record-keeping. The ideal candidate should possess excellent communication skills, strong organizational abilities, and the ability to multitask effectively. This is a crucial role that contributes to the smooth functioning of our office and ensures a positive experience for our clients and visitors.
- Greet visitors, clients, and employees in a warm and professional manner.
- Answer and direct incoming phone calls, taking messages and transferring calls as necessary.
- Provide accurate information about the organization and its services to callers and visitors.
- Maintain a clean and welcoming reception area.
- Assist clients and visitors by providing information, addressing their inquiries, and directing them to the appropriate staff members or departments.
- Handle client complaints or concerns with empathy and professionalism, escalating issues as needed.
- Coordinate with other departments to ensure prompt resolution of client inquiries or requests.
- Occasionally helping our our Customer Service Agents via E-Mails, Dms, Phones during their sick leave/ high peak periods
- Assist with general administrative tasks, including photocopying, scanning, and filing documents.
- Manage and maintain office supplies inventory, ordering new supplies as needed.
Invoice Filing and Record-Keeping:
- Sort and file invoices, receipts, and other financial documents accurately and efficiently.
- Maintain a systematic and organized filing system for easy retrieval of records.
- Verify and cross-reference invoices with purchase orders and other supporting documentation.
- Assist with data entry tasks related to invoices and financial records.
Communication and Collaboration:
- Communicate effectively and professionally with team members, clients, and vendors.
- Collaborate with colleagues to ensure seamless workflow and efficient completion of tasks.
- Assist in coordinating office events, meetings, and conferences as required.
Qualifications and Skills:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a receptionist or in an administrative role.
- Strong interpersonal and communication skills, both verbal and written.
- Excellent telephone etiquette and customer service skills.
- Proficient in using office equipment, such as multi-line phones, printers, and scanners.
- Highly organized and detail-oriented, with exceptional time management skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in using computer software, including MS Office (Word, Excel, Outlook).
- Familiarity with basic accounting principles and invoice processing is an advantage.
